The NFPA 70B (2023) EMP records checklist.

The basics every electrical maintenance program starts with.

• A written EMP document, scoped to each facility the program coversChapter 4 expects a documented program — not an informal practice.
• Every location covered by the program is listed in it
• An equipment survey completed for each locationThe survey sets maintenance priorities: what is installed, where, and in what condition.

A named program owner, and qualified people doing the work.

• A named EMP Coordinator accountable for running the program"Maintenance handles it" does not name anyone.
• Designated Qualified Persons for the electrical maintenance workIn-house staff or your licensed electrical contractor — either way, named.
• Training records for each Qualified Person: training or certification name, plus completion dateNFPA 70E calls for retraining at intervals not exceeding three years.

An accurate inventory and one-line diagram are the backbone of the program.

• A current equipment inventory: every asset with its location and type
• Nameplate details recorded for each asset (manufacturer, model, ratings)
• A one-line diagram of the electrical system, kept current as equipment changesUsually the first artifact a loss-control engineer or inspector asks to see.
• Panel schedules with circuits labeled

Maintenance intervals tied to each piece of equipment, and dated records of the work.

• A maintenance interval assigned to each asset, by equipment class and assessed condition
• Dated inspection records: what was done, who performed it, and what was foundA record without a name and a date barely counts as a record.
• No intervals silently overdue — overdue work is scheduled or its deferral documented

A documented process to act on what inspections turn up.

• A log of findings from every inspection, each with a severity
• Corrective-action tracking from each finding through resolution
• Deferred findings reviewed on a scheduleDeferred is not resolved.

PE-led studies on file, refreshed when the system materially changes.

• Short-circuit study on file
• Protective-device coordination study on file
• Arc-flash risk assessment on file (NFPA 70E 130.5)
• A re-study trigger process: studies refreshed when the system materially changesA new transformer, a major load addition, or replaced switchgear should prompt a review.
